Community Room Requests

 

To reserve the Community Room please read the Community Room Use Policy and click continue to Request Form below.

Permitted Uses:

  1. Library programming and administrative meetings take precedence in scheduling. Community use is on a first-come, first-served basis using designated calendaring procedures.
  2. Room access is granted on an equal basis to all Witherle Library cardholders in good standing regardless of the beliefs or affiliations of the groups requesting access.
  3. Permission to hold any meeting does not mean that the library supports, endorses, or advocates any view expressed therein.
  4. The library does not allow revenue-generating activities hosted by individuals and for-profit entities to use the room.
  5. Use of the room is limited to two hours unless given special permission by the Library Director or the designated staff member in charge.

Fee:
There is no fee to use the Community Room.

Food:
May be consumed in the meeting room only. The sponsoring group must thoroughly clean up and dispose of all trash in the kitchen trash can.

Set up & Clean up:

  1. The room must be returned to the condition in which it was found, including table and chair configuration.
  2. Cleaning supplies and a vacuum are available for your use.
  3. The person reserving the room is responsible to pay for any remaining clean-up or damages to the facility.

Publicity:

  1. Any individual or group that uses the library for a public event must clearly state who is sponsoring the event in all publicity materials.
  2. Any press release, announcement or poster should clearly state “This event is sponsored by (Name of Individual or organization)”.
  3. In no case will the library’s logo be used in any publicity materials for community-sponsored events.
  4. Use of the Community Room does not mean that the event will be publicized on the library’s website or eNews.

Access and Security:

  1. The person requesting the use of the library’s space is responsible for all damage, theft or vandalism that may occur to the library during the event(s).
  2. The door must remain open for any one-on-one meetings that involve an adult and anyone under 18 years of age.
